VoicePing meeting rooms are spaces for holding meetings and working simultaneously with members, like a real office.

1. Let's Create a New Meeting Room

• Click "Create Meeting."
• Enter the meeting room name and click "Create."
• Enter the meeting room via the name bar on the left side.

<aside> 💡 When you create a new meeting, a meeting card (a blue square) will be created on the floor. You can also enter the meeting room by clicking the meeting card.

2. Meeting Room Settings

Now, we will explain how to configure a new meeting room and the detailed settings for existing meeting rooms.

1. Enable Guest Web App

• By enabling the "Enable Web App for Guests" option, people who have not installed the VoicePing app can access the meeting room via a web browser.
• If you want to set a password for browser access to the meeting room, turn on "Enable Guest Web App Password Protection”.

2. Enable Listener Web App

• This setting allows you to generate a link to share the transcription and translation page of the meeting room with external guests.

3. Set as a Private Meeting Room

Turning this setting on makes the meeting room private, requiring participants to send a request to join the meeting.

4. Set Up Regular Meetings

• By configuring this setting, you can automatically call the specified members at the time of the recurring meeting. For how to create groups, refer to this guide.

5. Enable Speech to text detection

Turning off the transcription function will prevent the meeting from being transcribed.

6. Delete all data when the meeting room is empty

The data in the meeting room (objects and chat messages) will be automatically deleted after the meeting ends (when users are absent).

[Audio Data] For users on the Small and Premium plans, to maintain data security and efficient storage management, audio data will be stored for a maximum of 3 months. Please feel free to contact us by the end of November 2024 to discuss your needs.

[Recorded Video Data]

Recorded video data that is older than one month will be deleted without prior notice. If you wish to retain your videos for more than one month, please download them in advance.
