Automatic Transcription

VoicePing meeting rooms have a "Speech to Text Detection" feature that automatically transcribes all conversations on both the floor and in meeting rooms.

Languages Available for Transcription

VoicePing can transcribe over 40 languages including English, Chinese, French, and more.
💡
Up to 3 languages can be transcribed and translated at the same time in the workspace.

Add/Remove Languages for the Workspace

  1. Open “Preferences” from the gear icon at the upper right corner of the screen
  2. Click on the “Speech to text” option
  3. Add/remove up to 3 languages under the “Language Option for Workspace” option

This setting is only accessible by managers or those of a higher status.

Choosing the Language to Transcribe

Specify the Language from the Preferences

  1. Open “Preferences” from the gear icon at the upper right corner of the screen
  2. Click on the “Speech to text” option
  3. Select the language for speech-to-text detection

  1. Click on “Chat” in the toolbar at the bottom of the screen
  2. Click on the microphone icon at the upper right corner of the chat-box
  3. Select the language for speech-to-text detection

The transcription tool can only be used in the meeting room.

The transcribed text can be seen in real-time from the chat-box.

You can switch the speech-to-text detection settings in the upper left corner of the meeting room.

  1. Open the “Meeting Room Settings” by clicking on the gear icon at the upper left corner of the meeting room
  2. Click on the toggle switch icon for “Enable Speech to text detection” to turn it on and off

Click on the blue “Update” button to apply changes.

Create Customized Phrases

When there is a word or name that is not commonly used, the AI will consider it inappropriate in its context and will replace it with a different word. In order to prevent this from occurring, input the unique words as customized phrases into VoicePing so that the AI can transcribe terms with high accuracy.

  1. Click on the gear icon at the upper right corner of the screen
  2. Click on “Speech to text”
  3. Input words in the box under “The phrase below will be detected by Speech-to-Text”

Precautions When Entering Customized Phrases

  • Separate each word with a semicolon ( ; )
  • All members in the workspace can enter customized phrases
  • The customized phrases will be reflected in the entire workspace
  • When deleting customized phrases, do not delete all of them at once but rather each word individually

View Meeting Transcriptions

When the speech-to-text function is turned on, the transcriptions are automatically logged and saved after meetings are over.
  1. Click on the speech bubble at the upper left corner of the meeting room
  2. Under “Meeting Logs” you are able to view the recorded transcripts from meetings

Conversations are stored separately for each speaker so you can viewed who said what.
