Offline events setting guide

This guide introduces the setup methods for providing VoicePing translation services at offline events.

Methods for Accurate Transcription and Translation Using Equipment

VoicePing is commonly used in web meetings and can perform high-precision transcription and translation even with PC microphones. However, during events, accuracy may deteriorate due to noise and howling effects. Therefore, we recommend using an audio interface.

The most common setup is as follows:

For translation broadcasting, by using a mixer to route audio to the PC, it is possible to perform high-precision transcription and translation by eliminating noise at the input stage. Additionally, you can insert an audio interface between the mixer and microphone to make various additional settings. You may also increase the number of microphones and PCs according to the number of speakers and languages. It is also possible to operate with separate mixers.

Below is a list of equipment that has been actually used in past events and confirmed to work: *Please note that we do not provide this equipment. *While VoicePing can perform noise canceling within the software, routing audio directly from microphones through mixers enables more accurate transcription.

For Seminars (Single Speaker)

Both displaying translation subtitles on local screens/monitors and distributing subtitles via QR code can be performed simultaneously.

Displaying Translation Subtitles on Local Screens/Monitors

Preparation

  1. On the event host side, move to VoicePing's Virtual Office mode and prepare a meeting room.
  2. ※ Please confirm that VoicePing's Virtual Office mode is enabled

    ※ If using from a web browser instead of the desktop app, please check whether you have the status to use Virtual Office mode from the web

  3. Enter the created meeting room, unmute the microphone, select chat from the control bar at the bottom of the screen, and confirm that transcription is working.
  4. ※ If an audio interface is connected, please select which microphone to detect from the microphone menu

  5. Press the full-screen display icon from the top bar of the chat box. You can also change the target translation language from the top right of the screen.

Practice/Live Event

  1. Invite seminar speakers to the meeting room created during preparation as VoicePing regular users or web guests. When there are multiple speakers, basically all speakers should participate from separate devices.
  2. Speakers should confirm whether they have set their spoken language as the recognition language. When speakers participate from separate devices as VoicePing regular users or web guests, translation is possible even when conversations in different languages occur simultaneously.
  3. ※Please check whether howling or similar issues occur.

Distributing Translation Subtitles via QR Code

Preparation

  1. On the seminar host side, move to VoicePing's Virtual Office mode and prepare a meeting room.
  2. ※ Please confirm that VoicePing's Virtual Office mode is enabled

    ※ If using from a web browser instead of the desktop app, please check whether you have the status to use Virtual Office mode from the web

  3. After creating the meeting room, enable the Listener Web App from the meeting room settings. When you enable the Listener Web App, you can obtain a QR code/URL that seminar participants can join. Also, please confirm that the "Enable Listener Microphone" option is turned off.
  4. ※ The QR code/URL obtained here is fixed, so it can be used for advance notifications

    ※ Regarding the "Enable Listener Microphone" option, this can be changed during the event. When turned on to accept questions, it becomes possible to translate questioners' questions as well.

Practice/Live Event

  1. Distribute the listener mode QR code or URL to customers/testers and encourage participation.
  2. Invite seminar speakers to the meeting room created during preparation as VoicePing regular users or web guests.
  3. Speakers should confirm whether they have set their spoken language as the recognition language.
  4. Unmute within VoicePing and start speaking to begin actual transcription and translation.

For Panel Discussions (Multiple Speakers)

When Speakers Are in the Same Location (All panelists on stage, etc.)

Panel Discussion Environment Considerations

Key Considerations:

  1. Each panelist's microphone picks up other panelists' voices
  2. ※ If other panelists' voices are picked up, transcription will loop and duplicate.

  3. Multiple languages are used within the same panel discussion

Case 1: Both Considerations 1 & 2 are YES

We apologize, but there is a high possibility that we cannot provide effective translation. We are currently developing a function to perform real-time speaker separation from a single audio source. Please wait a little longer.

Case 2: Consideration 1 is YES, Consideration 2 is NO

Speaker separation is not possible, but translation itself can be effectively provided. Mix audio from all microphones using an audio interface into one audio source and connect it to the PC with VoicePing installed to provide real-time translation. Please refer to the following configuration.

Case 3: Consideration 1 is NO, Consideration 2 is YES

Speaker separation and translation can be effectively provided. When speaker separation is needed: Prepare the same number of PCs as speakers and connect each microphone's audio to each respective PC for real-time speaker-separated translation.

When speaker separation is not needed: Prepare the same number of PCs as languages, mix audio by language, and connect each to a PC with VoicePing installed for real-time translation.

Case 4: Both Considerations 1 & 2 are NO

Speaker separation and translation can be effectively provided. When speaker separation is needed: Prepare the same number of PCs as speakers and connect each microphone's audio to each respective PC for real-time speaker-separated translation.

When speaker separation is not needed: Prepare only one PC, mix all audio into one source, and connect it to a PC with VoicePing installed for real-time translation.

  2. Enter the created meeting room, unmute the microphone, select chat from the control bar at the bottom of the screen, and confirm that transcription is working. When testing with an audio interface connected, please select which microphone to detect from the microphone menu.
  3. Prepare according to your usage method. QR code translation distribution and venue monitor/screen translation subtitles can be used simultaneously.
    1. For QR Code Translation Distribution:
      1. Enable the Listener Web App from the meeting room settings. When you enable the Listener Web App, you can obtain a QR code/URL that participants can join. Also, please confirm that the "Enable Listener Microphone" option is turned off.
      2. The QR code/URL obtained here is fixed, so it can be used for advance notifications.
      3. Regarding the "Enable Listener Microphone" option, this can be changed during the event. When turned on to accept questions, it becomes possible to translate questioners' questions as well.
    2. For Venue Monitor/Screen Translation Subtitles:
      1. Press the full-screen display icon from the top bar of the chat box. You can also change the target translation language from the top right of the screen. Translation can be provided by displaying the full-screen subtitle display on monitors/screens.

When Speakers Are in Different Locations (Some panelists participating remotely, etc.)

Preparation

  1. On the event host side, move to VoicePing's Virtual Office mode and prepare a meeting room.
    1. Please confirm that VoicePing's Virtual Office mode is enabled
    2. If using from a web browser instead of the desktop app, please check whether you have the status to use Virtual Office mode from the web
  2. Enter the created meeting room, unmute the microphone, select chat from the control bar at the bottom of the screen, and confirm that transcription is working. When testing with an audio interface connected, please select which microphone to detect from the microphone menu. Remote participants should join as VoicePing regular users or web guests.
